We are seeking a highly organized and detail-oriented Strategic Events Coordinator to join our dynamic team. This pivotal role offers a unique opportunity to work closely with senior leadership and contribute to the development of innovative events and activities in a fast-paced environment.
Job Overview
This full-time position will be based in Singapore and reports directly to the Director – CEO Office. Flexibility is essential as the nature of the work requires adaptability to varying schedules and demands beyond regular office hours. The ideal candidate will have previous experience in administrative roles, particularly in diary and travel arrangement, and proven expertise in handling confidential information.
Key Responsibilities
- Assist in coordinating intricate event assignments, showcasing agility in problem-solving and maintaining high integrity standards.
- Contribute to the preparation of presentation materials and reports before and after meetings.
- Collaborate with internal and external stakeholders to plan and execute events and activities.
- Schedule calendars and manage travel arrangements for senior leadership.
- Handle protocol at events and meetings with finesse.
- Independently execute routine and complex administrative tasks, ensuring seamless project execution and day-to-day office operations support.
- Assist in drafting and responding to official communications to internal and external stakeholders as needed.
- Proactively ensure follow-ups and completion of various projects and tasks within established deadlines, delivering high-quality outcomes.
- Travel for events, with specific responsibilities discussed and agreed upon separately.
Requirements
Essential:
- Previous experience in an administrative role, including diary and travel arrangement.
- Proven experience handling highly confidential information and documents.
- Strong organizational, writing, and proofreading skills, with a keen attention to detail and accuracy.
- Team-oriented with the ability to thrive in a fast-paced environment, delivering efficiently under pressure.
- Positive, hard-working attitude, adept at multitasking on multiple projects simultaneously.
- Ability to adapt to the fluid nature of the role.
- Expertise in managing different time zones.
- Fluency in English, with proficiency in an additional language highly preferred due to the international nature of managing internal and external parties.
- Excellent Microsoft Word skills, including PowerPoint, Excel, and Word.
- Passion for creative problem-solving and solutions.
Estimated Salary Range: SGD $50,000 - $70,000 per annum
