Job Summary:

We are seeking a highly organized and proactive professional to support our healthcare team as a Ward Administrator.

The successful candidate will be responsible for coordinating appointments, managing schedules, and ensuring seamless communication with residents and their families.

  • Primary Point of Contact: The ideal candidate will act as the primary point of contact for non-medical inquiries from residents' families and other stakeholders.
  • Coordination: They will coordinate appointments, including medical visits, home leave, and other activities, ensuring timely responses and resolution to queries.
  • Billing: The candidate will assist in billing for services rendered to residents, maintaining accurate records and ensuring timely payments.
  • Scheduling: They will manage schedules, communicate with internal and external stakeholders, and coordinate logistics for medication collection, transport, and supply needs.
  • Nursing Functions: The candidate will support nursing functions by coordinating residents' transportation for medical appointments and managing meal requests.
  • Cancellations: They will handle cancellations, raise purchase requests for household supplies and services, and maintain a record of all transactions.
  • Data Management: The candidate will maintain and update spreadsheets and databases using Microsoft Excel, ensuring accuracy and efficiency in data management.
  • Reports: They will prepare reports, summaries, and schedules as needed, providing valuable insights to healthcare professionals.
  • Communication: The candidate will manage incoming calls, emails, and correspondence, ensuring prompt response to resident queries and concerns.
  • Regulations: They will ensure compliance with healthcare regulations and privacy policies, safeguarding sensitive information and maintaining confidentiality at all times.

Required Skills and Qualifications:

To succeed in this role, the ideal candidate will possess the following skills and qualifications:

  • Proven experience as an administrative assistant or similar role within healthcare, demonstrating expertise in patient care and administrative tasks.
  • Proficiency in Microsoft Excel and other Microsoft Office applications, with ability to manage complex spreadsheets and databases.
  • Excellent organizational and multitasking skills, with ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication skills, both written and verbal, with ability to interact effectively with residents, families, and healthcare professionals.

Preferred Skills:

In addition to the required skills and qualifications, the following skills are preferred:

  • Experience in nursing or medical office environment, with knowledge of patient care and administrative procedures.
  • Customer service orientation and problem-solving skills, with ability to resolve issues efficiently and effectively.
