Job Summary
We are seeking a highly skilled and detail-oriented Document Controller to join our team. This role is responsible for ensuring the smooth operation of our QMS document control processes, including implementation, distribution, retrieval, obsolescence, archiving, and maintenance.
The ideal candidate will have excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams. Proficiency in MS Office Suite, particularly Word, Excel, and SharePoint, is also essential.
Key Responsibilities:
- Document Control: Responsible for implementing and maintaining our QMS document master list, obsolete list, distribution list, training matrix, and other related documents.
- Review and Compliance: Reviews contents of QMS documents to ensure compliance with QMS requirements.
- Audit Support: Assists in conducting line audits to ensure operations and quality control adhere to controlled WI/PWI/EWI and inspection criteria.
- DHR Records: Ensures timely completion of DHR records in compliance with GDP/data integrity requirements.
- New Employee Induction: Conducts New Employee Induction training on QMS awareness and document and records control requirements.
- Calibration Activities: Responsible for calibration activities, including measurement equipment numbering assignment, updating of calibration master list, liaising with calibration suppliers for measurement equipment calibration, reviewing and maintaining calibration certificates, tracking equipment identification and calibration status, and managing updates for reference or out-of-service equipment.
- Internal Audit: Supports internal audit, external audit, and customer audit, working with relevant departments on document preparation and review of documents for audits.
- Document Drafting: Supports quality department document drafting, updating, and review.
- Routine 5S Checks: Performs routine 5S checks and identifies gaps and opportunities for continuous improvement.
Requirements
- Diploma qualification in any discipline.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, SharePoint, Microsoft Teams, etc.).
- Meticulous, with good attention to details.
- Strong communication and interpersonal skills to work effectively with cross-functional teams.
Estimated Salary: $55,000 - $65,000 per annum, depending on experience. We offer a competitive salary package, comprehensive benefits, and opportunities for professional growth and development.
