Job Title

The Facilities Coordinator role requires an individual to oversee and manage the overall facilities management services for a company.

  • Conduct daily checks on facilities to ensure everything is in working order
  • Act as the primary point of contact for clients, visitors, and guests
  • Manage interactions with building landlords
  • Collaborate with the facilities team to develop strategic plans and objectives
  • Assign and manage facility management tasks as required
  • Ensure timely follow-up with customers
  • Continuously improve processes and systems to enhance client satisfaction
Financial Management
  • Oversee all financial transactions related to facility services
  • Administer clients' purchasing systems for facility-related purchases
  • Register new vendors in the JDE system according to established procedures
  • Prepare and submit purchase orders on behalf of the facilities team
  • Process goods receipts after confirming purchase orders
  • Send scanned invoices to the Financial Service Center via email
  • Assist with other financial matters to ensure timely completion of financial processes
  • Escalate any potential financial risks or issues impacting facility operations to the Account Lead
Meeting Room Support
  • Maintain meeting rooms to ensure they are always clean and tidy
  • Assist local businesses with meeting room bookings and audiovisual equipment operations where necessary
  • Demonstrate flexibility and creativity in finding solutions to meet customer needs
  • Stay up-to-date with relevant Service Level Agreements and Key Performance Indicators
Engineering Support
  • Coordinate and manage maintenance and repair services for HVAC, fire protection, security equipment, mechanical, and electrical systems
  • Manage and program badge access registration and issue resolutions for users and visitors daily
Procurement & Vendor Management
  • Review maintenance/service practices of contractors to deliver high-quality work in line with manufacturer recommendations and established procedures
  • Plan and manage budgets for engineering and operational contracts
  • Manage vendor relationships for technical services
  • Arrange procurement of equipment and supplies for training purposes
Site Operations
  • Plan and execute smooth site operations for mechanical, electrical, plumbing installations, and buildings works
  • Provide emergency call support and site attendance as required
  • Manage projects to ensure quality and deliverables within stipulated timeframes
Health & Safety Management
  • Conduct regular audits to ensure safety procedures are in place and functioning properly
  • Implement and manage facility risk management programs
  • Support disaster recovery and business continuity initiatives
  • Follow established incident reporting procedures

Key performance measures: uninterrupted site operations, client satisfaction, and continuously improving service

Required qualifications, skills, and experience: diploma or equivalent qualification in facilities management, strong administration and organization abilities, initiative and professionalism, team player with ability to work independently, experience dealing with internal and external customers, strong communication and interpersonal skills
