Job Description:

We are seeking a dedicated team member to take on the role of Programs and Operations Associate. As a key player in our organization, you will be responsible for introducing our programs and services to women referred to us, as well as supporting program and events execution across all teams.



Main Responsibilities:
  • Recruit and onboard women referred to DOT for pre-employment preparation programs, services, and workshops.
  • Conduct intake assessments, case management, and coordinate programs with stakeholders, including women, community partners, volunteers, and trainers.
  • Ensure healthy program registration numbers and prepare necessary materials, including training materials, AV equipment, and decorations.
  • Coordinate transportation support for heavy materials and ensure that all program information is disseminated to participants, volunteers, and stakeholders.
  • Be physically present at programs islandwide to set up equipment, present slides, manage seating arrangements, and ensure children's safety.
  • Communicate effectively with stakeholders, maintain group chats, and share EDMs on upcoming programs and events.


Administrative Tasks:
  • Respond to email enquiries and triage them to relevant departments.
  • Enter data accurately and promptly after each session.
  • Prepare reporting numbers for program attendance and collect relevant data using standard forms.
  • Update personal data in systems and documentation where necessary.
  • Input observations to maintain clear communications with the Employment Bridging team.
  • Communicate directly with social workers and referral partners via email.
  • Edit digital flyers using Canva to reflect updated program information.


Qualifications:
  • Diploma Holder
  • Minimum 2-3 years' experience in customer service, events management, program management, or project management roles, social work experience.
  • Singaporean or PR

  • Proficient in Microsoft Excel, Word, PowerPoint, Design Skills (Canva), Data Entry, AV Set Up
  • Strong communication skills, ability to handle minor conflicts, and adapt to unforeseen situations
  • Punctual, reliable, and flexible with work arrangements
  • Self-motivated, independent, and proactive team player
  • Organized, detail-oriented, and able to implement processes for internal stakeholders
  • Ability to thrive in uncertainty and communicate effectively across departments
  • Prioritize multiple program deadlines and willingness to learn new technologies
