Property Maintenance Coordinator

We are seeking a highly skilled Property and Facilities Executive to join our team at T K A Construction.
Main Responsibilities:
**Maintenance Coordination**: The executive will oversee all aspects of facility maintenance, including scheduling and supervising routine maintenance and repairs. This involves managing contractors, service providers, and in-house maintenance teams to ensure timely and cost-effective work.
Property Upkeep and Inspections: Regular property inspections will be conducted to assess conditions, identify maintenance needs, and ensure facilities comply with safety and regulatory standards. Recommendations for improvements or refurbishments will be made as necessary.
Budgeting and Cost Control: Budgets will be prepared and managed for facility operations and maintenance activities. Monitoring expenses, negotiating contracts with service providers, and ensuring cost-effective solutions are employed.
Tenant Liaison and Communication: As the primary point of contact for tenants, concerns related to maintenance issues, safety protocols, and facilities services will be addressed. Regular communication regarding tenancy agreements, renewals, and feedback on facility-related matters will take place.
Health, Safety, and Environmental Compliance: Ensuring that all properties comply with health and safety regulations and environmental standards is a key responsibility. Safety procedures and emergency plans will be developed and implemented, and responses coordinated in case of emergencies.
Vendor and Contractor Management: Relationships with third-party vendors and contractors will be managed, including contract negotiation, performance oversight, and ensuring compliance with contractual obligations.
Facility Upgrades and Capital Projects: Capital projects for facility upgrades or large-scale maintenance initiatives will be planned and overseen, including renovations or infrastructure improvements. Projects will be ensured to be completed on time, within budget, and meeting required standards.
Sustainability Initiatives: Leading sustainability efforts for properties, such as energy efficiency upgrades, waste reduction strategies, and adopting green building practices.
Reporting and Documentation: Comprehensive records will be maintained of maintenance activities, tenancy agreements, budgeting reports, and compliance documents. Regular reports will be provided to property owners or senior management on facility status and ongoing projects.
The ideal candidate will have strong communication skills, a working knowledge of building systems, and the ability to balance tenant needs with operational goals and cost management. Additionally, they should be able to liaise with Mandarin-speaking tenants and possess their own vehicle.
