Job Title: Assistant/Executive, Administration

YELLOW RIBBON INDUSTRIES PTE. LTD. is seeking a highly skilled and motivated Assistant/Executive, Administration to join our team. The successful candidate will be responsible for providing support in the areas of procurement, administrative, and IT coordination to the organization.

Key Responsibilities:
  • Perform timely execution of procurement activities, including sourcing, tendering, and seeking purchasing approvals.
  • Conduct sourcing and market sensing activities to ensure the organization's procurement needs are met.
  • Draft procurement documents, including ITQ, ITT, and Submission Reports, for review and approval.
  • Ensure the whole purchase request to contract award process is timely followed through.
  • Prepare pricing summaries and cost analysis to relevant stakeholders and evaluation committees.
  • Ensure proper documentation and approvals are obtained and filed in the proper order.
  • Creation of Period Contracts in the ERP system for all requesting departments.
  • Issuance of Purchase Orders to suppliers and follow-through on outstanding issues.
  • Prepare monthly reports of outstanding Purchase Orders and follow up with respective divisions.
Administrative Responsibilities:
  • Assist in ordering pantry and office supplies.
  • Assist in new staff onboarding activities, including issuance of staff passes and equipment.
  • Organize meetings and draft minutes.
  • Assign and uphold Item Code records in the ERP system.
  • Provide support in day-to-day administrative-related matters.
  • Carry out any other administrative duties or tasks as assigned.
IT Responsibilities:
  • Provide subject matter expertise in regards to the ERP system.
  • Coordinate the activities of IT equipment issuance, Tech Refresh, and technical issues.
Requirements and Skills:
  • Diploma preferably in the field of procurement and supply chain management.
  • Diploma/Degree Holders with no prior experience are welcome to apply.
  • Strong command of written and spoken English.
  • Ability to draft official documents using formal language.
  • Proficient in Microsoft Office, particularly Excel and Words.
  • Positive mindset: willingness to learn and contribute.
  • Must be a good team player and able to establish good relationships with peers.
  • Good communication and interpersonal skills.
  • Able to work in a fast-paced and restricted work environment.
  • Able to prioritize well and generate outcomes.
  • Able to work independently with minimal supervision.
