We are seeking a highly skilled Administrative Coordinator to join our team at GEBERIT SOUTH EAST ASIA PTE LTD. The successful candidate will be responsible for overseeing daily office operations, ensuring efficiency and productivity.

Job Responsibilities

The role involves:

  • Managing inventory and ordering office supplies;
  • Coordinating maintenance and repairs for office equipment and facilities;
  • Organizing office layout and seating arrangements for new employees;
  • Supporting the planning of company events, meetings, and conferences;
  • Handling incoming and outgoing correspondence;
  • Ensuring compliance with health and safety regulations;
  • Maintaining office cleanliness and professional atmosphere;
  • Checking and opening company letterbox daily;
  • Reneewing office's monthly season parking;
  • Maintaining telephone directory and employee contact list;
  • Arranging courier services;
  • Ordering and managing pantry supplies, stationery, and birthday cakes;
  • Maintaining and sending employee birthday messages;

Administrative Support

  • Providing administrative support to the Managing Director;
  • Handling employee visa applications and preparing invitation letters for visiting colleagues;
  • Preparing and editing documents, reports, and presentations;
  • Coordinating travel arrangements and itineraries for employees;
  • Taking charge of travel and hotel bookings;
  • Arranging lunch for monthly management meetings;
  • Registering new joiners' thumbprints and deactivating leavers;
  • Managing vendor relationships and office vendor/supplier list;
  • Requisitioning name cards;
  • Maintaining office service contracts (e.g., broadband, mobile line, lease);
  • Sourcing and booking training/event locations;

IT Management

  • Overseeing IT infrastructure to ensure optimal performance and security;
  • Supporting installation, configuration, and maintenance of hardware and software;
  • Troubleshooting and resolving IT-related issues, providing technical support to employees;
  • Coordinating with external IT service providers and vendors;
  • Assisting with IT setup during quarterly townhalls;
  • Assisting with new laptop setup for new employees and software removal for old laptops;
  • Setting up new joiner telephone lines and business mobile contracts;

The estimated salary for this role is SGD 50,000 - SGD 65,000 per annum, depending on experience.
