(1) Overview and purpose of the position.

The Senior Executive, Operations Implementation is a vital member of the CHAMP Project Management Office (PMO) team, focusing on supporting the Operations Implementation Manager in the successful delivery of CHAMP's operational initiatives. This role encompasses various responsibilities, including assisting with project implementation, programme evaluation, change management, and material development. The Senior Executive will work closely with end-users to ensure a smooth implementation process and contribute to the overall success of the project.

1) Organize and support internal and external meetings for the department

1) Logistics for the meetings are well coordinated and materials are disseminated accurately on a timely basis

  1. Support the development and implementation of strategic CareHub plans
  • Support in the long-term planning of CareHub strategy & initiatives.
  • Support the implementation and refinement of the NUHS CareHub's strategic plans, in line with service planning directions and strategies from NUHS RHSO and MOH (Ministry of Health).
  • Support in the alignment and integration across entities and partners.
  1. Project Implementation and Monitoring

  • Support in development of targets and key performance indicators with detailed project plans, including timelines, milestones, and deliverable, and monitoring and reporting of outcomes according to agreed indicators in a timely manner
  • Coordinate and communicate with relevant stakeholders to ensure the smooth execution of project tasks.
  • Monitor project progress, identify potential risks and issues, and proactively address them to minimise delays and negative impact.
  • Regularly update on project status, providing detailed reports and analysis in a timely manner.
  • Provide hands-on support to end-users throughout the implementation process, addressing any issues or concerns and ensuring a positive user experience.
  • Continuously seek feedback from end-users to inform future improvements and enhancements to the project.
  • Support in the development and execution of service level agreements, in collaboration with NUHS Legal Office in a timely manner
  • Supports in the continuous improvement of programmes and enablers and to facilitate successful execution of change when required.
  • Assists with the evaluation of programmes and enablers.
  1. Change Management
  • Support the development and implementation of change management strategies to ensure the successful adoption of CHAMP by end-users.
  • Identify potential barriers to change and propose solutions to overcome them.
  • Develop communication plans, training materials such as training manuals, user guides, and other change management tools to facilitate a smooth transition.
  • Collaborate with internal and external stakeholders to ensure that materials are accurate, relevant, and engaging.
  1. Program Evaluation
  • Assist in the evaluation of project outcomes by collecting, analyzing, and interpreting relevant data.
  • Measure project success against established benchmarks and objectives, providing detailed reports and recommendations for improvement.
  • Conduct regular reviews of project processes and outcomes to identify areas for optimization and enhancement.
  1. Perform additional tasks as assigned by the immediate supervisor or Head of Department, CareHub.
  • Efficiently complete assigned tasks within the specified timeline, ensuring high-quality work and timeliness.

Qualification Required and Area of Discipline

  • Bachelor's degree in business, healthcare, or a related field.

Required Competencies and Capabilities (Skills, Experiences and Professional Licences)

  • A minimum of 1 year of experience in project management, operations, or a related field, preferably in healthcare or technology.
  • Proven ability to effectively manage and prioritize multiple tasks in a fast-paced environment.
  • Effective communication and interpersonal skills, with the ability to work well in a team and build relationships with diverse stakeholders.
  • Excellent organizational and problem-solving skills, with strong attention to detail.
  • Familiarity with project management methodologies and tools, such as Gantt charts and project management software, is a plus.
