Warranty Claim Processing
. Manage and process regional claims submitted by six service partners
. Review and verify claim documents for accuracy and completeness.
. Ensure timely submission of claims into the warranty system within 60 days from Repair Open (RO) date.
. Coordinate the procurement and shipment of spare parts, as well as the retrieval and return process for warranty items with service partners.
. Assist the Customer Care Centre by expediting the ordering and delivery of critical parts to Distributors/Service Partners, ensuring prompt restoration and functionality of engines/equipment.
Communication and Coordination
. Serve as the primary point of contact for warranty-related claims for service partners and assist to resolve any disputes or concerns promptly and effectively.
. Communicate effectively with service partners to gather any missing information or documentation required for claim processing and
. Coordinate with internal departments such as Customer level 2 support, Warranty and Sales to facilitate claim processing and resolution.
Documentation and Reporting
. Maintain an organized and up-to-date database of warranty claims, including claim status, approvals, rejections, and pending.
. Generate monthly report on warranty claims amount to Germany.
. Ensure all documentation is accurately recorded and filed in accordance with company policies and regulatory requirements.
Order Management
. Generate and assign internal job numbers to warranty, commissioning jobs and corrective actions claims for tracking and reference purposes.
. Raise Purchase Requisition and coordinate with Purchasing Team to ensure timely processing and issuance of purchase order to service partners.
. Receive invoices from service partners for warranty-related parts and labor claims.
. Perform goods receipt in SAP system to confirm receipt of items and initiate payment processing to Finance Team.
Continuous Improvement
. Seek opportunities to improve the warranty claim process to enhance overall customer satisfaction.
. Propose and implement solutions to streamline workflows, reduce errors, and improve efficiency in warranty claim processing.
Requirements:
. Degree/Diploma with at least 5 years of relevant experience in warranty administration, customer service, or administrative roles.
. Proficient with SAP and MS Office.
. Good interpersonal and communication skills
. Ability to multitask, prioritize workload, and work effectively in a fast-paced environment.
. Strong attention to detail and accuracy in data entry and record keeping.
