The Receptionist cum Sales Administrator plays a pivotal role in providing administrative support to both the reception area and the sales department. This position requires a blend of excellent customer service skills, organizational abilities, and sales support expertise. The ideal candidate will be adept at managing various tasks simultaneously, ensuring smooth operations in both areas.

Responsibilities:

Reception Duties:

  • Conduct daily check of meeting room, VIP room and the general area to ensure set up are according to the checklist for use/occupancy.
  • Greet and welcome visitors with a courteous and professional demeanor.
  • Answer incoming phone calls, take messages, and redirect calls to appropriate personnel.
  • Maintain a clean and organized reception area.
  • Monitor and maintain supplies inventory.
  • Handle incoming and outgoing products, (Inventory Management).
  • Manage appointment scheduling, event calendar bookings.
  • Provide general administrative support, including data entry, filing, and correspondence.
  • Managed social media platform. (Facebook, IG, Linkedin).

Sales Administration:

  • Respond to customer inquiries via phone, email, or in-person, providing product information and assistance as needed.
  • Coordinate with the sales team to ensure timely follow-up on leads and inquiries.
  • Generate sales-related documents such as invoices, quotations, and purchase orders.
  • Maintain accurate and up-to-date sales databases and records.
  • Manage enquires via all the channel OSA online agency. (Training provided)
  • Assist in events, and presentations as required.

Customer Service:

  • Provide excellent customer service to both internal and external stakeholders.
  • Address customer concerns and inquiries promptly and professionally.
  • Ensure customer satisfaction by providing timely and accurate information and assistance.

Administrative Support:

  • Assist with ad-hoc administrative tasks and projects as assigned by management.
  • Collaborate with other departments to facilitate smooth communication and operations.
  • Uphold company policies and procedures with regard to confidentiality, security, and customer service standards.

Qualifications:

  • High school diploma or equivalent additional qualifications in office administration or sales-related fields preferred. (Fresh graduate are encourage to apply)
  • Proven experience in a receptionist or administrative role, with exposure to sales support activities.
  • Strong communication skills, both verbal and written (English and Mandarin).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy in work.
  • Customer-focused attitude with the ability to handle inquiries and resolve issues effectively.
  • Team player with the ability to work collaboratively across departments.
  • Adaptability and flexibility to manage changing priorities and deadlines
  • Prior experience in sales support or customer service roles is an advantage.
  • Experience in updating system, website and social media will be a plus.
  • Able to start work immediately or within short notice

Salary: $2400 to $2800 per month (Negotiable)

Location: Tajong Pagar, International Plaza

Working Arrangement: Mondays to Friday: 8.30 am to 6:00 pm, Off on public holiday
