A Centre In Charge should possess strong organizational, administrative, and communication skills alongside attention to detail and basic IT competence. Customer service and time management are also key in ensuring smooth training operations and positive participant experiences.
1. Organizational Skills
Arranging training room facilities.
Coordinating and organizing training materials.
Arranging and scheduling trainers and participants.
Maintaining movement records and attendance tracking.
Filing and uploading documents correctly.
2. Communication Skills
Confirming trainer schedules and calls.
Directing participants effectively.
Conducting demo sessions for webinars.
Announcing results and issuing certificates/cards.
Collecting feedback from trainees and trainers.
3. Administrative Skills
Assisting with online registration, verifying identification (Name & FIN/NRIC).
Gathering and organizing pre-post course forms, feedback, and attrition forms.
Distributing question and answer sheets during assessments.
Performing monthly equipment inspections and registering new equipment.
4. Customer Service/Interpersonal Skills
Assisting participants with registration and addressing their concerns.
Handling payment collection and providing receipts.
Managing trainee and trainer interactions in a professional manner.
5. Technical Skills
Using online platforms for registration and webinars.
Uploading documents and photos for recordkeeping and compliance.
Managing attendance through digital means (photo, upload systems).
6. Attention to Detail
Verifying entry requirements and participants' documentation.
Ensuring accurate completion of forms.
Final checks on all necessary processes before classes start.
7. Time Management
Ensuring training rooms and materials are ready on schedule.
Managing class timetables and trainers' schedules.
Collection and submission of reports/forms on time.
Desirable Skills
Problem-Solving: In case of missing materials, room setup issues, or last-minute trainer cancellations.
Basic IT Skills: For online forms, photo uploads, and webinar management.
Teamwork: Coordinating with trainers, trainees, and possibly other staff.
Qualifications:
- A degree or diploma in Education, Business Administration, or a related field is preferred.
- Relevant experience in education administration, training, or centre management, preferably within a private education setting.
- Understanding of the regulatory framework governing Private Education Institutions in Singapore (e.g., knowledge of CPE, EduTrust certification).
- Strong organizational, leadership, and communication skills.
- Capability to manage academic administration and student-related processes effectively.
- Proficiency in computer applications and online education management systems.
Skills and Competencies:
- Leadership and team management skills to coordinate staff and trainers.
- Excellent interpersonal and communication skills to interact with students, trainers, and stakeholders.
- Analytical and problem-solving skills to address operational challenges and ensure compliance with regulations.
- Attention to detail and accuracy in managing documentation, registrations, and assessments.
- Ability to multitask and manage time efficiently under pressure.
- Customer-service mindset to support student needs and foster a positive learning environment.
- Familiarity with Education Board and Examination Board processes is an advantage.
- Flexibility to handle ad-hoc tasks and support activities beyond regular hours if needed.
