Roles & Responsibilities

We are seeking a meticulous and dynamic VM Operations Coordinator to be the backbone of our South Asia Visual Merchandising team. In this role, you'll blend operations, accounting, and procurement skills to ensure every visual merchandising project runs seamlessly—from concept to in-store execution.

Operations Support

  • Partner with HQ, Regional, and Local VM teams to coordinate all VM material purchasing for windows, lightboxes, in-store displays, store openings, and key VM projects.
  • Consolidate and maintain comprehensive VM project data across the region.
  • Monitor seasonal prop orders, transportation schedules, and local production timelines.
  • Liaise with logistics teams to manage shipping lead times, customs clearance, and smooth delivery of VM materials.
  • Oversee props inventory to control recycling, reduce storage costs, and drive sustainability initiatives.

Accounting Support

  • Consolidate and review monthly expense reports from local markets (multi-currency) in line with HQ guidelines.
  • Support VM budget management across categories (windows, props, transport, store openings, VM projects) in collaboration with Finance.
  • Ensure all purchasing requests align with approved budgets and company controls.
  • Partner with stakeholders to maintain strong operational and accounting compliance.

Procurement Support

  • Maintain a detailed database of VM activities, including photos, costs, vendor records, and bidding documents.
  • Manage procurement procedures (POs, invoices, bidding) in compliance with internal control policies.
  • Gather vendor feedback and performance evaluations across markets.
  • Support sustainability-focused VM initiatives with HQ, Regional, and Local teams.

What We're Looking For

  • Minimum 3 years' experience in Accounting, Operations, or Administration in a multinational environment.
  • Strong organisational skills with exceptional attention to detail.
  • Proactive, responsible, and able to work independently as well as collaboratively.
  • Excellent interpersonal and communication skills.
  • Fluent in written and spoken English.
  • Proficient in Microsoft Excel and PowerPoint.
