Job Summary:
The HR & Admin Executive will support the HR and Administration departments in managing daily operations, employee services, and office management activities. This role will involve assisting with recruitment, employee relations, performance management, and general office administration to ensure smooth and efficient operations across the organization.
Key Responsibilities:
Human Resources Responsibilities:
- Assist in the recruitment process, including posting job ads, screening resumes, coordinating interviews, and conducting reference checks.
- Support onboarding activities for new employees, including documentation, orientation, and induction.
- Maintain and update employee records in HRMS (Human Resource Management System) or other databases.
- Assist in managing employee benefits programs (health, insurance, leave policies, etc.).
- Assist HR manager to prepare insurance claims (Workmen Compensation, Hospitalisation)
- Coordinate employee training and development initiatives, including tracking training schedules and employee participation. Submission of training grants.
- Prepare HR-related reports and assist in maintaining HR files and documentation.
- Address employee queries related to HR policies, attendance, payroll, and benefits.
- Assist with employee engagement and welfare activities to promote a positive work culture.
Administrative Responsibilities:
- Oversee day-to-day office management, including managing office supplies, equipment, and ensuring a clean and organized work environment.
- Assist in coordinating meetings, conferences, and company events.
- Manage incoming calls, emails, and correspondence.
- Assist with travel insurance for employees.
- Monitor and maintain office equipment and coordinate maintenance as required.
- Handle the documentation, filing, and archiving of company records.
- Maintain office attendance records and assist in managing leave requests and absences.
- Liaise with vendors, service providers, and external stakeholders for office-related services (e.g., cleaning, security, etc.).
- Ensure that health and safety protocols are followed in the office environment.
- Support in the HR-related billings processing - eg raise Purchase Requisition/Order, receive invoices and submit for payments
- Assist in Company vehicles management (renewal of road tax, maintenance, insurance, corporate EV/petrol pass, etc)
- Registration and issue of company mobiles
Requirements:
- Education: Minimum Diploma in Business Admin, or a related field. IHRP Certification (or working towards it) will be considered an added advantage.
- Experience: Minimum of 6 years of experience in HR and administrative roles.
- Skills and Competencies:
- Strong knowledge of HR policies, labor laws, and office administration practices.
- Excellent organizational, multitasking, and time management skills.
- Good communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with HRMS or payroll systems (Times Pro) is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Highly motivated with a strong sense of ownership and accountability.
