Roles & Responsibilities

The intern of 6 months is largely expected to work in an office environment from 8.30 am to 6.00 pm on weekdays and may also be required to travel out of the office for meetings. On occasions, the jobholder may need to work outside official hours on weekends to support the running of events.

We are seeking an individual who is either currently pursuing or has completed an IT-related diploma such as Diploma in Applied AI & Analytics or Diploma in Information Technology or Design for User Experience (DDUX) from Singapore Polytechnic or Republic polytechnic. The intern will play a crucial role in the planning and implementation of our Learning Management System and the integration of AI technologies into our systems.

Project Specification Including Learning Points for a Polytechnic Intern Involved in the LMS Tender Preparation at Mendaki

Project Overview

The objective of this project is to prepare a tender document for a new Learning Management System (LMS) that will significantly enhance the delivery of educational programs at Mendaki. This will be achieved by conducting thorough needs solicitation and analysis, which will also provide a practical learning opportunity for a polytechnic intern involved in the project.

Objectives

- To gather and analyse detailed functional and technical requirements for the new LMS.

- To enable the polytechnic intern to gain hands-on experience in project management, stakeholder engagement, and technical documentation.

- To ensure the LMS aligns with Mendaki's strategic educational and technological goals.

Scope

- The project encompasses the solicitation of needs, comprehensive requirement analysis, and the drafting of a detailed tender document for procuring the LMS.

- Incorporation of specific learning objectives for the intern to ensure a meaningful internship experience.

- Engagement with various stakeholders to refine the requirements and expectations for the LMS.

- Learn new tools to create educational content and support some administrative duties at work

Phases of the Project with Intern Learning Points

Phase 1: Needs Solicitation

(A) Objectives:

- Collect comprehensive user requirements from diverse stakeholders.

- Provide the intern with experience in designing and conducting surveys and focus groups.

- Identify limitations of the current system and desired improvements.

(B) Activities

- Assist in preparing and distributing surveys, conducting interviews under supervision.

- Participate in and document focus group discussions.

- Analyse feedback to help identify critical system requirements.

(C) Learning Points

- Gain insights into effective data collection methods.

- Understand the importance of stakeholder input in project specifications.

- Develop communication and analytical skills.

Phase 2: Requirement Analysis

(A) Objectives

- Translate collected data into actionable system requirements.

- Categorize requirements to prioritize system functionalities.

- Train the intern in requirement analysis and documentation.

(B) Activities

- Collaborate with IT specialists to assess and document technical and functional requirements.

- Help in prioritizing requirements based on impact and feasibility.

- Draft sections of the requirements document.

(C) Learning Points

- Learn how to perform qualitative and quantitative data analysis.

- Develop skills in technical writing and specification documentation.

- Understand system design and architecture principles.

Phase 3: Drafting the Tender Document

(A)Objectives

- Develop a comprehensive tender document that includes all technical specifications and evaluation criteria.

- Educate the intern on the legal and compliance aspects of tender preparation.

- Ensure the document meets all regulatory and organizational requirements.

(B)Activities

- Draft sections of the tender document focusing on technical and functional requirements.

- Define and document vendor qualifications and submission guidelines.

- Revise the draft based on internal feedback.

(C) Learning Points

- Experience in drafting formal procurement documents.

- Understanding of compliance and procurement processes.

- Skills in revising and finalising professional documents based on feedback.

Timeline

Scheduled to begin on Start Date and complete by [End Date], structured to facilitate the intern's learning process throughout the project duration.

Success Criteria

- Accurate documentation of user needs and system requirements leading to a robust tender document.

- Positive stakeholder feedback on the tender document and project execution.

This project specification ensures a structured approach to soliciting needs and preparing a tender document for an LMS at Mendaki while providing a rich learning environment for a polytechnic intern, integrating professional development with meaningful project contributions.

Other Tasks

1.Administrative Support: On the administrative side, the intern could manage schedules, arrange meetings, take meeting notes, and prepare materials for presentations related to project management. This helps in keeping the project timeline on track and ensuring effective communication among team members.

2.Educational Content Development: As part of CDLT, the intern could also assist in developing training materials or guides based on the new system functionalities introduced, facilitating smoother adoption by end-users across the organisationJob Summary:
