Assistant Manager, Graduate Studies Unit

With increasing focus ongraduate programmes, it is important to maintain and improve onexisting coursework programmes while continual implementation ofnew coursework programmes that are aligned to the directions givenby the University and at National level. In other words, theassistant manger will be contributing greatly to the school'svisibility and advancing goal for academic excellence. Theassistant manager is responsible for the graduate courseworkprogrammes under the purview of the CEE Graduate Studies Unit(GSU).
Responsibilities:
SupportUnit Manager of GSU
- Assistunit manager with matters relating to graduate studies unit toensure smooth daily operations.
- Oversight ofCEE Graduate programmes (by coursework)
- Workcooperatively with colleagues within and across units/departmentand external parties.
- Review current processesand propose improvements to Management forconsideration.
Establishnew Master's by courseworkprogrammes andFlexiMasters
- Developproposal and strategies from planning stage through to delivery forthe new graduate programmes andFlexiMasters.
- Familiarise with the differencesin the programme structures, implementation procedures, policiesand operations between FlexiMasters and the usual MSc courseworkprogrammes.
- Proactively liaise with the variousstakeholders (e.g. proposal committee, Programme Director, SchoolManagement, related departments) for the proposal andimplementations.
Maintainexisting Master's bycoursework programmes andFlexiMasters
- Handleimplementation of new/revise NTU policies relating to graduatecoursework programmes
- Prepare proposals ongraduate matters such as introduction of new courses,specialization, changes in curriculum, tuition fee revision, etc.Keep relevant parties informed on the progress of proposalssubmitted.
Admissionof students for Master's by coursework programmes
- Advise prospective graduatestudents on application procedures and regulations and on-linesystems.
- Internal pre-screening, review andshortlisting of admission applications that fulfill the minimumUniversity admission requirements.
- Makerecommendations to Programme Directors and guide the discussionrelating to decision made for studentadmission.
Oversightand management of student candidatures including examinationmatters.
- Organiseorientations and provide guidelines for new graduatestudents.
- Course and examination timetablescheduling, and capacity planning.
- Graduatecourse registration.
- Support administration ofspecialization and dissertation
- Closely monitorthe graduate students' academic progress to ensure they fulfil thecourse requirement throughout theircandidature.
- Support students incandidature-related matters (Leave of Absence, withdrawal,etc)
- Processing of student part-timeclaim
- Monitor teaching feedback submissions andcollate teaching feedbacks for lecturers
- Handleenquiries through counter duties and role base email account andStudent Management System (SMS)
- Update websiteinformation
- Lead the decentralized examinationand e-examinations
- Coordinate graduateexamination script checking
- Involve in thecoursework examination matters including merging and transfer ofmark list, etc.
- Provide case background,pointers and assist School Management in facilitating the Board ofExaminers (BoE) meeting, which eventually resulted in the decisionmade for the cases brought up to BoE.
- Assist innomination of prizes andmedals
Statisticsand budget
- Prepare therelevant budgeting templates in the annual budgetingexercise.
- Prepare statistical reports requestedby the School Management and otherdepartments.
Qualificationsand Requirements:
- A degreeholder from a recognized university
- At leastthree years of relevant administrativeexperience
- Knowledge of the academic programmeprocesses and requirements.
- Familiar withvarious related systems will be addedadvantage.
- Proficient in Microsoft Office (e.g.Excel, PowerPoint, Word)
- Proficient in onlinecommunication software (e.g. Teams,Zoom)
- Strong interpersonal and communicationskills (both oral and writing skills)
- Goodplanning, analytical and problem-solvingskills
- Excellent time management andorganizational skills
- A good teamplayer
- Able to work independently andmulti-task
- Efficient and resourceful individualwith drive for results
- Meticulous and able toproduce good quality outputs
- High level ofsituational adaptability in changingcircumstances
