Our client is a leading shipping company that is committed to the green and technology-driven growth of the industry. Headquartered in Singapore for the past 30 years, the company's shore team is fully integrated with in-house commercial, finance, innovation, IT, legal, manning, operations, and technical departments.

This a new role in addition to the current Front Office Executive who will be handling more administrative duties with the Administration Manager.

The Front Office Executive they are looking for should be a highly organised person who takes pride in providingexceptional service.

FRONT OFFICE EXECUTIVE

This role is responsible for managing incoming phone calls professionally, adhering to the company's telephone standards and projecting a positive corporate image. As the first point of contact for guests and visitors, this role plays a key part in maintaining good public relations. Additionally, this role oversees the efficient handling of incoming and outgoing documents at the front desk.

AREAS OF RESPONSIBILITY

Front Desk Management


• Answer and transfer phone calls professionally, taking messages when necessary.


• Greet and assist visitors, ensuring they are logged into Visitor Management System.


• Provide directions and assist with visitor check-in when required.

Administrative Support


• Co-ordinate with pantry staff for beverage arrangements and provide assistance when needed.


• Manage meeting room bookings and approve staff reservations.


• Maintain meeting rooms by ensuring they are clean, with emptied bins, stocked stationery, andproperly arranged chairs before and after each meeting.

Mail & Courier Handling


• Receive and distribute incoming documents and packages promptly and accurately.


• Maintain up-to-date records of all incoming and outgoing packages.


• Coordinate with courier and dispatch services on outgoing document when required.

Qualifications / Experiences


• Minimum GCE O Levels with at least 1 year of relevant experience


• Good interpersonal skills


• Proficient with Microsoft office


• Able to multi-task in a fast-paced environment
