Aboutthe role:

To achieve the timelyand efficient delivery of Facility Management services to Client'sstaffs in Client's Sites and support of their business needs inaccordance with the Service Levels and Key PerformanceIndicators.

What this jobinvolves:

To deliver highquality, prompt and courteous Facility Management services insupport of Client's business needs in a safe workingenvironment:

Reception - Client relation withstaff and guests; Administrative works - PO and invoicing works onboth client and JLL side; Regional badge operation - access controland badging for ASEAN and Korea.
  • Facility management
    To ensure the overall upkeepof the workplace environment including but not limited to cleaning,security, pest control, plants, repair and maintenance andetc.
    Ensured Key Operations Procedures are followed toensure service standards are maintained.
    Assist to monitorthe Office Facilities & Critical Environment
    Assist toreport and schedule contractors for preventative maintenance tolimit the downtime for all critical equipment.
    Assist todeal with emergency and arrange ad-hoc repair
    To followestablished escalation procedures and incident reportingprocedures
    Keep good communication with landlord and havethe monthly meeting with Landlord.
    FM related smallproject management, and event supports.
    Landlordmanagement
  • Customer Service / ClientRelationships
    Keep good communication with on-sitestakeholders.
    Preparing reporting as required includingmonthly report and CEM KPI review etc.
    Regular collectclient feedbacks and organize actions
    Customer complaintshandling.
  • Reception Front DeskService
    Represent the Client as front face of theoffice.
    To greet clients, handle telephone call, bookconference room, office equipment.
  • Securitymanagement
    To coordinate vendor to maintain/repairsecurity system and CCTV system.
    Responsible for RegionalBadge Operation supporting ASEAN and Korea.
    Badgemanagement for SGP
    Other Security responsibilitiesincluding dawn raid and etc.
  • Office equipment& environment management
    Ensure all office equipment,including photocopiers, fax machines, paper shedders etc. are ingood working order and consumables are replenishtimely
    Ensure a good office environment, includingarranging office ad-hoc repair, monitoring landscaping service andcleaning service
    To arrange office soft service. Topurchase office consumption (paper, stationery and pantry stuffetc.) and deal with printing materials. To report and submitpurchase request for client approval, purchase from approvedsupplier and ensure they are delivery on time with accuratequantity.
    To handle confidential document destruction anddocument archiving.
    Assist for the safe keepingconfidential document such as bank license and relateddocuments.
  • Vendor management
    Toassist with the selection of the contractors .
    Monitor thecontractor's works.
    Evaluate the contractors' serviceperformance.
  • Payment/ billingmanagement
    Assist to receive and verify the monthlystatement. Allocate the expenses and prepare reports toclient.
    Responsible for Client PO and invoicing works, andJLL PO and invoicing works
    To assist update premisepool/general pool allocation key on monthly basis.
  • Space management
    Assist to provide the accurateseating plan to support space management on monthlybasis.

Required
  • University degree
  • At least 2 yearsexperience in Corporate Facilities Management role
  • Strong interpersonal skills
  • Proficiency in English (spoken andwritten)
