Roles & Responsibilities

Reports to: General Manager

Interrelation: Collaborates with various company network elements, including manning centers, clients (both external and internal), inter-departmental units with client service relations, and maritime regulatory bodies.

Works closely with the Crew Manager for client-assigned vessels. Directly interacts with vessel crew and manning agents.

Formal Authorities

- Oversees daily crewing activities under the General Manager's guidance.

Main responsibilities and tasks

Financial

- Contributes to AOP financial targets.

- Partners with the Crew Manager for client manning budgets.

- Coordinates budget updates in line with client reporting.

- Examines and categorizes disbursement accounts for crew costs.

- Authorized to approve invoices within a specified limit set by the General Manager.

Crewing Activities

Recruiting & Planning

- Coordinates long-term vessel staffing.

- Engages with vessels, manning centers, and agents.

- Evaluates applicants and nominations based on criteria.

- Ensures timely planning of relievers.

- Ensures long-term planning alignment with Crewing Notes.

- Generates 'Seniority' reports and discusses promotion plans.

Crew Joining Formalities

- Monitors flag document and certificate validity.

- Coordinates seafarer embarkation and disembarkation.

- Monitors training compliance with the Training Matrix.

Travel

- Manages vessel travel arrangements and budget compliance.

- Verifies and registers travel invoices.

Crew Management database - Crew Management System (CMS)

- Ensures CMS accuracy through agent updates.

Reports & Performance Monitoring

- Generates required reports to assess department and activity performance.

- Issues non-conformance reports and responds to received ones.

Support functions

- Coordinates vessel takeover and handover as per GIMS.

- Oversees medical sign-off cases and collects P&I invoices.

- Participates in organizational initiatives.

Customer Interface

- Implements WSM AOP goals for customer interaction.

Organizational Interface

- Collaborates with other WSM/WMS departments and external entities.

- Coordinates with external crewing and training centers for WSM/WMS benefit.

Growth & Development

- Contributes to value chain growth.

Accountabilities

- Assessed against annual operational performance indicators.

Qualifications

Mandatory Requirements

- Holds relevant certification with experience.

- Strong English communication and computer skills.
