Roles & Responsibilities

Job Description1. Warehouse Operations Management
  • Daily Operations Oversight: Manage and coordinate all warehouse activities on a daily basis, including receiving, sorting, storing, picking, packing, and shipping orders.
  • Process Optimization: Develop and implement processes that enhance warehouse efficiency and productivity. Regularly review operational workflows to identify and resolve bottlenecks or inefficiencies.
  • Scheduling and Staffing: Plan and schedule staffing needs based on order volume, peak periods, and seasonal demands. Ensure there is adequate coverage for all shifts.
  • Equipment Maintenance: Oversee the maintenance and proper use of warehouse equipment (e.g., forklifts, pallet jacks, conveyor systems) to ensure smooth operations and minimize downtime.
2. Inventory Management and Control
  • Inventory Accuracy: Maintain accurate inventory records by implementing effective tracking systems, including barcode scanning and RFID tracking. Conduct regular cycle counts and full physical inventories.
  • Stock Replenishment: Monitor inventory levels to ensure stock is replenished in a timely manner. Work with procurement and purchasing teams to manage stock orders and prevent overstock or stockouts.
  • Order Fulfillment: Oversee the order picking and packing process to ensure that products are shipped accurately and on time. Implement quality control measures to check for order accuracy and packaging quality.
  • Returns and Damage Control: Manage returns and defective merchandise processes to ensure items are properly handled and restocked when necessary. Ensure damaged goods are properly documented and handled per company policy.
3. Team Leadership and Development
  • Staff Supervision: Lead, manage, and mentor a team of warehouse workers. Assign tasks and monitor team performance to ensure productivity and quality standards are met.
  • Training and Development: Develop and conduct training programs for new and existing staff on warehouse procedures, safety standards, and equipment usage.
  • Performance Management: Provide regular feedback, conduct performance reviews, and set goals for warehouse staff. Address performance issues in a constructive and supportive manner.
  • Employee Engagement: Foster a positive work culture with a focus on teamwork, employee development, and morale. Lead by example and encourage continuous improvement and innovation.
4. Health, Safety, and Compliance
  • Safety Standards: Ensure that all warehouse activities comply with local, state, and federal safety regulations, as well as company-specific safety protocols. Regularly conduct safety audits and assessments.
  • Hazard Identification: Proactively identify and mitigate safety hazards within the warehouse environment. Maintain clear signage and ensure that safety equipment (e.g., fire extinguishers, first aid kits) is accessible and functional.
  • Compliance: Ensure compliance with all OSHA regulations, industry standards, and company policies. Keep up to date with changes in regulatory requirements and implement necessary changes within the warehouse.
  • Accident Investigation: Investigate accidents or safety incidents, documenting findings and implementing corrective actions to prevent reoccurrence.
5. Logistics Coordination
  • Inbound and Outbound Shipments: Coordinate with suppliers, transporters, and internal teams to ensure the timely receipt and dispatch of goods. Plan and schedule deliveries based on priority and capacity.
  • Shipping Documentation: Ensure that all shipments are accompanied by accurate and complete shipping documentation (e.g., bills of lading, packing slips, customs paperwork).
  • Vendor Relations: Establish and maintain good relationships with shipping companies, suppliers, and third-party logistics providers. Negotiate shipping costs and contracts as needed.
  • Cross-Functional Collaboration: Collaborate with purchasing, sales, and customer service departments to ensure smooth order processing, stock availability, and customer satisfaction.
6. Reporting and Analysis
  • Performance Metrics: Track and report on key performance indicators (KPIs), such as order accuracy, shipping timelines, inventory turnover, and labor productivity. Regularly analyze data to identify trends and areas for improvement.
  • Continuous Improvement: Use data and feedback from warehouse operations to recommend process improvements, cost-saving initiatives, and performance enhancements.
  • Management Reporting: Prepare weekly, monthly, and quarterly reports on warehouse performance, inventory levels, and operational efficiency for senior management. Make data-driven recommendations for improvements.
7. Cost Control and Budgeting
  • Budget Management: Develop and manage the warehouse budget, ensuring operational costs are kept within budgetary constraints. Identify opportunities to reduce operational costs without compromising on quality or service.
  • Resource Allocation: Allocate resources efficiently, including labor, equipment, and space, to meet operational needs while controlling costs.
  • Vendor Negotiations: Work with external suppliers and vendors to negotiate favorable terms, discounts, and shipping rates, contributing to cost-saving initiatives.
8. Technology and Systems
  • Warehouse Management System (WMS): Utilize and oversee the use of the warehouse management system (WMS) to track inventory, process orders, and manage warehouse operations. Ensure that staff are adequately trained on the system.
  • Process Automation: Evaluate opportunities to introduce automation technologies (e.g., conveyor systems, automated picking systems) to streamline operations and reduce manual errors.
  • Data Analytics: Leverage data and analytics to track warehouse performance and improve decision-making, forecasting, and resource planning.
9. Customer Service Support
  • Order Accuracy: Ensure that customer orders are processed accurately and dispatched on time to meet customer expectations. Address customer complaints or issues related to warehouse operations in a timely and professional manner.
  • Timely Deliveries: Work with the logistics team to ensure that all orders are shipped on time and that delivery schedules are met.
  • Return Processing: Handle returns efficiently, ensuring products are restocked properly or returned to suppliers if necessary, and that customer service is notified in a timely manner.
Qualifications:
  • Proven experience in warehouse management or related roles (3+ years preferred).
  • Strong leadership and team management skills with the ability to motivate and inspire others.
  • Excellent organizational and time-management abilities.
  • Knowledge of warehouse management software (WMS) and basic understanding of logistics and supply chain operations.
  • Strong understanding of health and safety regulations and ability to implement safety practices.
  • Ability to work under pressure and manage competing priorities.
  • Excellent communication and interpersonal skills.
  • Forklift certification and experience in operating warehouse equipment is a plus.
  • High school diploma or equivalent (Bachelor’s degree in logistics or a related field is a plus).
