Job Title: Data Entry Clerk
Location: Gul Cir
Reports to: Supervisor/Manager
Job Purpose:
The Data Entry Clerk is responsible for the accurate and timely entry, update, and management of data across various systems and databases, particularly in cost management processes. This role will ensure the integrity of cost data related to projects and operations, contributing to efficient budgeting, cost control, and reporting. The position requires keen attention to detail, a strong understanding of cost-related data, and effective collaboration with different teams.
Key Responsibilities:
- Cost Data Management:
• Maintain and update cost data systems and databases, ensuring the accurate and timely entry of cost-related information for all projects and operations.
• Track and control project costs against budgets and forecasts, ensuring proper classification of all costs (materials, labor, overheads, etc.).
• Ensure consistency and accuracy in data reporting across all cost areas, including direct and indirect costs. - Data Entry & Management:
• Accurately enter and update records in company systems and databases, ensuring proper formatting and completeness.
• Verify and cross-check data entries for consistency and reliability across all systems.
• Ensure that data is entered correctly and aligned with internal cost classification guidelines. - Data Quality Assurance:
• Review data for errors, inconsistencies, or discrepancies and correct them as necessary.
• Conduct regular audits of data to maintain accuracy and integrity.
• Ensure proper classification and consistency of data across all projects and operational records. - Reporting & Documentation:
• Generate reports from cost management databases, providing detailed breakdowns of costs for analysis.
• Assist with the preparation and organization of documentation for financial reports and project cost summaries.
• Assist in the creation and maintenance of data entry procedures for cost-related data. - Collaboration & Support:
• Work closely with project managers, finance teams, and operations departments to ensure accurate cost data entry and reporting.
• Provide support to senior management with cost-related queries and ad-hoc data analysis.
• Assist in the preparation of cost reports and communicate any significant discrepancies between forecasted and actual costs. - Ad-hoc Tasks:
• Assist with preparing data for audits or other company reviews.
• Support the team in various data-related tasks as required.
Skills & Qualifications:
Education:
• High school diploma or equivalent; an associate degree or relevant coursework in data management, finance, or administration is preferred.
Experience:
• At least 1-2 years of experience in data entry, administrative support, or a similar role.
• Experience with cost-related data entry or financial reporting is a plus.
Technical Skills:
• Proficiency in MS Excel and other data management software.
• Familiarity with ERP systems (SAP, Oracle, etc.) or cost management databases is an advantage.
Analytical Skills:
• Strong attention to detail and accuracy in data entry and reporting.
• Ability to identify and resolve discrepancies in cost data.
Communication Skills:
• Good written and verbal communication skills.
• Ability to translate cost data into clear, actionable insights for internal teams.
Personal Attributes:
• Highly organized and able to prioritize tasks effectively.
• Proactive and results-driven with a focus on accuracy and process improvement.
• Strong team player with the ability to work independently when needed.
Working Conditions:
• Full-time position, based at Gul Circle.
• Occasional travel to project sites or other office locations may be required.
