Senior Executive, Grant Administration

The Senior Executive (GrantAdministration) will support the financial and manage theadministrative aspects of research grants awarded to IDMxS. Byensuring adherence to grant administration guidelines andcompliances, this appointee will contribute to the effectivefunctioning of IDMxS, supporting research activities, ensuringcompliance with regulatory requirement and reporting deadlines, aswell as spending restrictions.
GrantAdministration:
- Support thesubmission of project/grant applications, RISE project variations,creation and closing of awards.
- Reviewing,editing grant proposals and communicating the approved budget toPIs.
- Ensures grant aligned with grant fundingguidelines and requirements.
- Providefirst-level financial advisory support to PIs, funding agencies,researchers and/or other units within NTU on researchgrant.
- Check to ensure expenses are charged tothe correct WBS
- Point of contact for allexternal grant administration, budget monitoring and reportingmatters.
- Works closely with PIs on verificationof grant information, quarterly budget forecasts and compilation ofprogress reports.
- Works closely with internaland external shared services on all grant-related matters such asWBS creation, PID creation, budget allocation and systemupdates.
- Follow-up with grantor on thedisbursement of funds to NTU.
- Identifypotential grant opportunities forIDMxS.
ResearchSupport Administration:
- Administer approval forpurchase requisitions within the ARIBAsystem.
- Provide administrative support forfinance coding, submission of Non-PO invoices, Intra-billings andraise journal postings.
- Prepare quarterly MOEclaims submissions for Finance Manager toverify.
- Support Finance Manager withaudit-related matters as and whenrequired.
- Work closely with PIs and HRBP onmanpower hiring related activities.
- Assist PIswith preparation of the necessary paperwork for new hires, contractrenewal, job upgrades and funding check across all new and existinghires within the Centre.
- Creation WBS and PIDfor all manpower needs.
- Provide administrativesupport to the Co-Director and Deputy Directors, which includesscheduling of meetings/appointments, coordinating travelarrangements and submission of expenses claims (whenrequired).
- Any other ad-hoc duties assigned byseniorleadership.
Requirements:
- Bachelor's degree inFinance or Business administration, or a related field from arecognized University/IHL
- Minimum 1-2 years ofexperience in grant administration
- Experiencein research benchmarking (e.g. calculating H-index, FWCI-index) andknowledge of end-to-end grant management will beadvantageous
- Excellent oral and writtencommunication skills
- Strong organization andanalytical skills
- Meticulous and pays closeattention to details
- Ability to engage andcollaborate with senior leadership
- Capabilityto collaborate effectively with individuals of diverse levels ofexpertise and cultural backgrounds.
- Excellentproblem-solving skills and analytical skills to drive continuousimprovement
