Responsibilities and Duties:

1.  Administrative Support:

Serve asreceptionist and give information to patients, visitors and otherhealth care team members.
Assist in patient admission,transfer and discharge process by preparing files and necessarydocuments.
Order meals for staff. 
Bookambulance for elective cases such as for discharge, externalfollow-up appointments.
Distribute and collect feedbackforms from patients and relatives.
Retrieve medicalrecords from Medical Record Office.
Record and type theward meeting minutes.
Prepare and keep current logs,files and schedules pertaining to the operations of the ward.
Maintain appropriate patient data e.g. admission, dischargeand transfer information.
Perform periodic data entry ofpatient’s discharges.
Billing of patients’ procedurecharges in the ward.

2.   Despatchfunctions

Despatch of discharge documents e.g.discharge summary forms, charge forms to Finance Division.
Despatch of specimens to the collection point.
Filedischarge notes and despatch to Medical Record office.

3.   Inventory   

Updatequality of specified equipment on a regular basis.  Report anydiscrepancy to staff in charge.
Participate in lineninventory count by Support Service Department on a 6 monthlybasis.
Assist to order and maintain stock and consumableinventory weekly.
Check and order laboratory specimencontainers and top up regularly.
Order and maintainnecessary stationery supplies for the wards. 
Maintain patient care forms and replace updated copies as andwhen necessary.

4.   Patient CareSupport

Make appointment for internal andexternal services e.g. Dietician, Podiatrist, MDRP, Psychogeratricetc.
Co-ordinate with staff nurse and family, regardingpatient’s upcoming TCUs, transport arrangement and payment.
Co-ordinate with staff nurse regarding changes in TCUs, newTCU (referrals), diagnostic procedure etc.
Co-ordinatewith staff nurse and Medical Social Worker regarding specialrequirements e.g. volunteers.
Assist doctors withsimple/standard referral letters/forms e.g. Ortho, HNF externalservices.

Job Requirements

•Diploma in any Business-related discipline.

•Minimum 1-2 years of relevant experience especially in healthcaresector.

• Able to manage high-volume activitiesand handle data confidentiality.

• Able to workunder tight timeline and respond to changing priorities.

• IT savvy and comfortable with the use of multipleclinical systems.

• Organised, meticulous andproactive.

• A team player with goodinterpersonal skills
