Roles & Responsibilities

Warranty Claim Processing

•Manage and process regional claims submitted by six service partners

•Review and verify claim documents for accuracy and completeness.

•Ensure timely submission of claims into the warranty system within 60 days from Repair Open (RO) date.

•Coordinate the procurement and shipment of spare parts, as well as the retrieval and return process for warranty items with service partners.

•Assist the Customer Care Centre by expediting the ordering and delivery of critical parts to Distributors/Service Partners, ensuring prompt restoration and functionality of engines/equipment.

Communication and Coordination

•Serve as the primary point of contact for warranty-related claims for service partners and assist to resolve any disputes or concerns promptly and effectively.

•Communicate effectively with service partners to gather any missing information or documentation required for claim processing and

•Coordinate with internal departments such as Customer level 2 support, Warranty and Sales to facilitate claim processing and resolution.

Documentation and Reporting

•Maintain an organized and up-to-date database of warranty claims, including claim status, approvals, rejections, and pending.

•Generate monthly report on warranty claims amount to Germany.

•Ensure all documentation is accurately recorded and filed in accordance with company policies and regulatory requirements.

Order Management

•Generate and assign internal job numbers to warranty, commissioning jobs and corrective actions claims for tracking and reference purposes.

•Raise Purchase Requisition and coordinate with Purchasing Team to ensure timely processing and issuance of purchase order to service partners.

•Receive invoices from service partners for warranty-related parts and labor claims.

•Perform goods receipt in SAP system to confirm receipt of items and initiate payment processing to Finance Team.

Continuous Improvement

•Seek opportunities to improve the warranty claim process to enhance overall customer satisfaction.

•Propose and implement solutions to streamline workflows, reduce errors, and improve efficiency in warranty claim processing.


Requirements:


•Degree/Diploma with at least 5 years of relevant experience in warranty administration, customer service, or administrative roles.

•Proficient with SAP and MS Office.

•Good interpersonal and communication skills

•Ability to multitask, prioritize workload, and work effectively in a fast-paced environment.

•Strong attention to detail and accuracy in data entry and record keeping.
