Job Description:

We are seeking a detail-oriented and financially aware Project Coordinator to manage HRMS implementation projects, ensuring seamless coordination between project deliverables, client payments, and customisation milestones. This role requires strong project management skills to track customised development against billable items, ensure timely invoicing, and enforce a payment-before-development policy while maintaining positive client relationships.

Key Responsibilities:Project Coordination & Deliverables Management
  • Monitor project timelines and ensure that all deliverables align with agreed schedules, escalating risks when necessary.
  • Track customisation requests to ensure they are within the agreed scope, documenting changes and approvals effectively.
  • Enforce payment-driven development, ensuring that custom features or additional services are initiated only after receiving the corresponding payment.
  • Collaborate with the Product & Development teams to align custom development timelines with billing schedules.
  • Maintain structured status reports, ensuring internal teams are aware of pending, approved, and completed deliverables.
Billing Coordination & Payment Oversight
  • Track billable items against deliverables, ensuring that each milestone is invoiced and paid for before further work is initiated.
  • Follow up on client payments, ensuring that invoices are processed on time and that pending payments do not delay project execution.
  • Work closely with the Finance team to reconcile project costs, invoices, and contract amendments.
  • Maintain documentation for all financial agreements, including project scope changes, contract amendments, and outstanding balances.
  • Hold off development work if payments are overdue, communicating effectively with clients to manage expectations.
Internal Cross-Team Coordination & Client Engagement
  • Serve as the primary client liaison, providing updates on project status, billing matters, and any customisation dependencies.
  • Conduct client health checks, identifying concerns that may impact project timelines or payments.
  • Coordinate with Sales, Finance, Product, and IT teams to ensure seamless handover between pre-sales, implementation, and post-go-live support.
  • Ensure all projects comply with IT risk assessments, security standards, and SaaS regulatory requirements.
Qualifications & Requirements:
  • Open to candidates without a bachelor's degree if they have relevant experience in project coordination, finance (accounts receivable), SaaS implementation, account management, or customer success.
  • 1-3 years of hands-on experience in project coordination, finance (AR), or SaaS implementation is highly valued.
  • Strong understanding of SaaS billing structures, AR processes, and project-based financial tracking.
  • Excellent organisational and multitasking skills to track multiple projects, deliverables, and payment statuses.
  • Strong analytical and problem-solving skills, with the ability to align technical deliverables with financial milestones.
  • Proficiency in project management tools (e.g., MS Projects) and financial tracking systems (e.g., QuickBooks).
  • Ability to navigate difficult client conversations regarding payments, billing disputes, and project expectations.
  • Willingness to travel occasionally for client meetings, project reviews, or escalations.
