Roles & Responsibilities

  • Source for accommodations and deal with housing agents or dormitory operators including negotiation for the best rental and renewals.
  • To manage assignments of housing or dormitories with Area/Operations Managers to achieve and optimise occupancies rate.
  • To control, manage, and optimise all costs and expenses management with Area/Operations Managers.
  • Coordinate and liaise with HR Business Partner (HRBP) and/or Area/Operations Manager assigned to work with the Accommodation Coordinator on all accommodation matters and issues.
  • To brief tenants on house rules, terms and conditions and proper maintenance of accommodation during tenure.
  • To provide a schedule and be involve in quarterly inspection of foreign workers’ accommodation with Operations and preparation of reports and submit to Area/Operations Managers, Operations Director and Head, HR/HR Manager.
  • To take disciplinary action against non-compliance, if necessary, with Area/Operations Manager.
  • Prepare payment request for housing deposit, rental for renewal or new unit, and to any handyman if repair is required through HRBP.
  • Notify tenant to pay for utilities. Notify the tenant on a monthly basis to pay and show proof of payment to landlord.
  • Assist in opening of new SP account for new property.
  • Assist in reviewing tenancy agreement with housing agencies for housing (include meeting the Landlord to update on HDB portal through HRBP when there is change in workers particulars) and getting endorsement of agreement by Area/Operations Manager before seeking approval from Head. HR & Admin.
  • Assist in Stamping of Tenancy Agreement for all units through Housing Agencies.
  • Handing and taking over property. Includes taking Videos and Photos of the property.
  • Arrange to purchase Mattress with Bed frame for tenant, inclusive of preparation of payment request with Finance.
  • Arrange any cleaning if tenant did not clear up after moving out, inclusive of preparation of payment request with Finance.
  • Arrange any disposal of leftover items that tenant did not clear up after moving out, inclusive of preparation of payment request or process any deduction from deposit by the landlord, and back charge to the operations site.
  • Safe keeping of landlord keys in the key press, including assisting to provide key to tenant in the event of loss of key(s).
  • Preparation of service charge fee to tenant who request for providing replacement of loss key through HRBP.

Position Requirements:

  • Knowledge of on and off-boarding of dormitories and housing.
  • Active listening skills/commitment to fully understanding the stakeholder’s point of view.
  • Ability to communicate difficult and complex housing choices to internal stakeholders and processing challenges.
  • Ability to maintain a non-judgment, non-reactionary, and non-defensive communication style during challenging discussions.
  • Exceptional personal skills that permit the candidate to work with a diverse community and build collaborative relationships with a variety of stakeholders.
  • Critical thinking skills that enable the candidate to make sound judgments in developing and time-sensitive situations.
  • Ability to responsibly prioritise competing tasks but also follow through in a timely manner.
  • Ability to follow meticulously proper record-keeping/reporting protocols.
  • Ability to follow direction from the HR Manager or Area Manager.
  • Ability/Desire to work cooperatively as a time with all stakeholders.
  • Availability to occasionally work evenings, weekend and/or on-call hours during emergencies.
