Work Dynamics -Integrated FacilitiesManagement

The Property ExecutiveCum FSM will be required to manage and monitor the repair andreplacement work including managing the defects rectificationthroughout the Defects Liability Period (DLP).
  • The role will be required to liaise with building owner,FMC and tenants across sites for the areas of responsibility, andact as the liaison with the contractors.
  • A keypart of the role will be to engage with tenants to ensure theirneeds are addressed during the work period especially whereinconvenience is caused to their day to day operations.
  • This role ensure highest standard in focus around safety,code-compliant, functional facilities/properties servicedelivery.
  • The role is to attend all meetingsand inspections and also responsible for providing periodic updatesand status projections.
  • The role isresponsible for the preparation, collation and submission ofrelated engineering, facilities, and project reports as perrequired frequency.
  • Develop an understandingof and sound working relationships with key representatives of theclient and all key suppliers' / service providers to thesite.

Major Activitiesand Responsibilities:
Fire SafetyCompliance:

  • Developand implement fire safety procedures, policies, and guidelines forthe properties to comply with local regulations.
  • Conduct regular fire safety inspections to identify andaddress potential hazards or non-compliance issues.
  • Coordinate with fire safety consultants, inspectors, andauthorities to ensure compliance with all fire safety codes andstandards.
  • Train property management staff andtenants on fire safety procedures and emergency responseprotocols.
  • Conduct periodic drills andexercises to test the effectiveness of emergency responseplans.
  • Oversee daily operations related tofire safety, including maintenance of fire detection andsuppression systems.
  • Stay updated on firesafety regulations and industry best practices, and effectivelycommunicate changes to relevantstakeholders.

ClientService - Project Management
  • Attend project meetings; provide progressive updates tobuilding owner, FMC and any relevant stakeholder.
  • Submission of project progress & completionreports.
  • Post DLP, to follow up closely andensure defects rectifications arecompleted.

ClientService - Facilities Management
  • Establish a "Safety First" culture across sites, andimprove safety performance by championing our level of awarenessand changing all staff and partner safety behaviours. Highlight anysafety risk to the contractor and follow through on theiradherence.
  • Provide support to building ownerand greater team as required to ensure delivery and achieve of highclient service standards.
  • Timely escalation toManager in the event of any escalations which have impact onperformance and other deliverables
  • Serve asthe liaison for all facilities services.
  • Ensure all safety, environmental, and client standardsare strictly adhered to within managed facilities.
  • Ensure compliance with portfolio wide initiatives andrequired local, state and federal laws and regulations that pertainto the operating of facilities.
  • Ensure strictcompliance with client policies and procedures, governmentregulations & JLL internal SOP pertaining to EHS, procurement,financial policies, etc.
  • Key point of contactfor tenant engagement, to work on communication materials, liaiseand work with tenants to ensure their needs and challenges as aresult of the work areaddressed

Education& Qualification
  • Property Executive - Diploma holder in Building orFacilities Discipline from a recognised tertiary establishment,with a minimum of 3 years relevant working experience (with M&Eand/ or civil / building background is preferred) OR ITE / NTCfacility management or technical discipline with minimum 5 years'experience.
  • Experiences and technicalknowledge in facilities management and projectmanagement.
  • Knowledge in statutoryrequirement

  • Computer skills in MicrosoftOffice, MS project, PowerPoint, Excel
