We are looking for a proactive and organized Administrative Executive to join the team. In this role, you will be responsible for managing administrative tasks, coordinating office activities, and supporting the leadership team to ensure smooth and efficient operations. Your attention to detail and ability to handle multiple tasks will be crucial in maintaining an organized and productive work environment.
Primary Responsibilities:
- Meeting/Office Coordination
- Coordinate and schedule meetings, training, appointments for executives and staff.
- Oversee PPE stock and arrange for replenishment if required.
- Provide Administrative Support
- Maintain and update filing systems electronically and physically.
- Input data into systems, generate reports, and track key performance indicators as required. Comfortable in managing data in spreadsheets & reports.
- Raise purchase requisition using in-house system.
- Document Management
- Ensure all documents, including policies, procedures, and records, are accurately created, reviewed, approved and archived.
- Manage the document control system to maintain the integrity and confidentiality of all documents.
- Coordinate the review and approval process for new and revised documents.
- Continuous Improvement
- Monitor and analyze documentation processes to identify opportunities for enhancement and increased efficiency.
- Propose and implement improvements to documentation processes and systems.
- Perform 5S management system for documentation in the system.
Requirements:
- Preferrable Diploma qualification. Relevant certification (e.g. Certified Document Controller) is a plus.
- Proven 2 years of experience in administrative work, with a strong understanding of documentation management systems and practices.
- Proficiency in document management software and Microsoft Office Suite
- Positive work attitude with a people-oriented personality
- Excellent verbal and written communication skills. Able to articulate and present ideas clearly
- Ability to work independently and manage priorities effectively
