Administrative Support Staff

Key Responsibilities
- Central Filing Systems Management: Maintain and organize electronic and physical filing systems to ensure easy accessibility and compliance with company policies.
Perform regular audits to ensure filing systems are up-to-date and efficient. - Invoicing: Prepare, track, and reconcile invoices in collaboration with the finance team.
Ensure accurate and timely processing of invoices and related documentation. - Time & Attendance Tracking: Manage employee time and attendance records, ensuring accurate data entry and reporting.
Coordinate with HR to address any discrepancies in attendance. - Tender Submissions: Support the preparation, organization, and submission of tender documents.
Ensure that all required documentation is accurate, complete, and submitted within deadlines. - Project Management Support (if applicable): Assist in tracking project milestones, deadlines, and deliverables.
Support project team coordination and documentation. - Collaboration via Microsoft Teams: Leverage Microsoft Teams for communication, document sharing, and task management within the Software Business Unit.
Serve as a point of contact for troubleshooting and optimizing Teams usage. - General Administrative Tasks: Provide day-to-day administrative support to the team.
Coordinate meetings, prepare agendas, and take minutes as required.
Ensure office supplies and resources are adequately stocked and managed.
- Proven experience in administrative support roles, preferably within a technology or software-focused environment.
- Proficiency in Microsoft Teams and Office Suite (Word, Excel, PowerPoint).
- Familiarity with filing systems, invoicing processes, and time-tracking systems.
- Experience with tender submissions and project management is a plus.
- Familiarity with project management tools (e.g., Trello, Asana, or similar).
- Basic understanding of financial and operational processes within a business unit.
