Job Description:

Providing comprehensive administrative and secretarial support: Scheduling, preparing reports, drafting correspondence, organizing records and files, answering queries, booking meetings, and supporting department projects.

Scheduling and conducting onboarding sessions: Organizing and leading sessions to introduce new hires to company policies, benefits, and systems, and setting up their workspaces.

Maintaining an inventory of department assets: Keeping track of office supplies, electronics, furniture, and equipment, including processing orders and managing installations and maintenance.

Assisting in annual budget preparation: Helping compile expense reports and forecasts, tracking expenditures, processing invoices, and reconciling the budget.

Maintaining department calendars, schedules, and shared resources: Managing schedules and resources.

Organizing and coordinating meetings, workshops, and events: Facilitating planning activities by arranging meetings and events, and handling related administrative tasks like preparing agendas and minutes.

Job Requirements:

Minimum Diploma / Degree with at least 3 years of relevant working experience

Fluent in Mandarin and English

Proficient with Microsoft Office

Strong communication skills

Accommodative and able to multi-task
