Position Summary:
We are seeking a detail-oriented and proactive Operations Specialist to join our dynamic team. The successful candidate will be responsible for streamlining our operational processes, ensuring efficiency, and supporting our clients throughout their application journey.

Key Responsibilities:

  • Oversee and manage daily operations to ensure efficiency and productivity.
  • Assist clients with their applications, providing comprehensive guidance and support.
  • Coordinate with various departments to ensure seamless client experience.
  • Handle client inquiries and resolve issues promptly and professionally.
  • Maintain accurate records and documentation for all client interactions and processes.
  • Identify opportunities for process improvements and implement solutions to enhance operational efficiency.
  • Support the team in meeting operational targets and objectives.
  • Assist in the development and implementation of operational policies and procedures.
  • Collect and manage client documents, ensuring completeness and accuracy.
  • Follow up with clients on any document shortages and write necessary letters.
  • Schedule appointments for document submission and follow up on application status.
  • Engage proactively with clients, providing specialist services and handling all kinds of client stress and pressure.
  • Work collaboratively in a team and maintain harmony in the workplace.

Requirements:

  • Minimum of 0-1 year of experience in an operations or administrative role, preferably within the consultancy or immigration industry.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in English and Chinese.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Detail-oriented with a high level of accuracy.
  • High follow-up skills and proactive engagement with clients.
  • Problem-solving skills and the ability to think critically and adapt to changing situations.
  • Ability to handle stress and pressure from clients professionally.
Days: Monday - FridayHours: Office hoursWeek: 5 days/week
