The Mailroom Specialist is a member of a team responsible for service delivery through efficient mailroom and digital operations at an Iron Mountain customer site. The Mailroom Specialist is responsible for handling, sorting, and distributing mail and packages in a timely and efficient manner.
The role involves managing both internal and external mail services, ensuring that all items are processed according to company policies and procedures.
The Mailroom Specialist will also be responsible for maintaining accurate records of all incoming and outgoing mail and packages, as well as handling any special mailing requests.
Responsibilities
Mail Handling & Distribution:
- Receive, sort, and distribute incoming mail and packages to appropriate departments or individuals.
- Prepare outgoing mail and packages, ensuring proper packaging, labeling, and postage.
- Coordinate with courier services for pickup and delivery of packages.
Record Keeping & Documentation:
- Maintain accurate logs of incoming and outgoing mail, including tracking numbers and delivery confirmation.
- Update and maintain the mailroom database or tracking system to ensure all mail is properly accounted for.
Mailroom Operations:
- Operate mailroom equipment such as postage meters, scanners, and sorting machines.
- Monitor and maintain mailroom supplies, such as envelopes, stamps, and packaging materials.
- Ensure the mailroom is organized and that all equipment is in good working order.
Support Services:
- Respond to inquiries regarding mail status or delivery issues in a professional and timely manner.
- Assist staff with their mailing needs, including special delivery requests and packaging guidance
Compliance & Security:
- Ensure compliance with company policies and procedures related to mail handling and distribution.
- Monitor and report any suspicious packages or security concerns to the appropriate personnel.
- All other duties as assigned by management
Job Requirements:
- Minimum of 1-year experience in mailroom, courier service, logistics; and/or 2-years’ experience in retail industry (Applicants without experience will be considered for entry-level position)
- Minimum “O” Level certification
- Willing to be deployed across different sites on short notice
- Excellent customer service and communication skills
- Proven record working in a fast-paced and time sensitive environment with little to no errors
- Absolute team player, and look to enjoy working with a close-knit team
- Attention to detail, responsible and organized
- Basic computer literacy skills in MS Excel and Word
- May requested to perform basic administrative to read and reply email and data entry.
- Willing to OT as per required
- Acceptable to do cross-functional learning/job rotation as per Management’s request
