Roles & Responsibilities

1. Payroll Processing

- Collecting and verifying timekeeping information for all employees.

- Calculating wages, overtime, deductions, and bonuses accurately.

- Processing payroll transactions in a timely manner.


2. Data Management

- Maintaining and updating payroll information by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.

- Ensuring accurate data entry and maintenance of employee records.


3. Compliance

- Ensuring compliance with local payroll, wage, and hour laws and best practices.

- Preparing and submitting reports for payroll taxes, social security, and other deductions.


4. Reporting

- Generating payroll reports for management as required.

- Providing information and answering employee questions about payroll-related matters.


5. Disbursements

- Issuing paychecks and managing direct deposits.

- Handling the distribution of payroll-related documents.


6. Reconciliation

- Reconciling payroll to the general ledger and performing month-end close activities related to payroll.

- Resolving any discrepancies in payroll.


7. Benefits Administration

- Assisting with the administration of employee benefits.


8. System Maintenance

- Assisting in the maintenance of the payroll system and implementing any necessary upgrades or changes.


9. Audit and Verification

- Conducting regular audits of payroll information to ensure its accuracy.

- Verifying the accuracy of new hire information and existing employee data.


10. Communication

- Serving as a point of contact for employees with payroll-related queries.

- Liaising with HR and accounting departments to ensure a smooth payroll process.


11. Problem Solving

- Investigating and resolving any discrepancies or issues related to payroll.


12. Record Keeping

- Maintaining historical payroll records by filing and organizing documents appropriately.


13. Training and Support

- Providing training and support to staff on payroll-related systems and processes.


14. Special Projects

- Participating in special projects related to payroll, such as system implementations or process improvements.


Payroll Assistants must have a strong understanding of Payroll systems, be detail-oriented, and possess good numerical skills. They should be familiar with Payroll software and have a solid understanding of relevant legislation and regulations. Confidentiality and discretion are also crucial, as they handle sensitive employee information. A team player and able to communicate well with colleagues and able to work independently. Must able to speak Mandarin Chinese & English and to communicate with the elderly cleaners.
