Objectives of the Position

 

To provide administrative and secretarial support to the Sr. Vice President, Agricultural Solutions with the aim to facilitate the operations and coordinate people interactions. 

Ensuring all assigned duties are carried out in a timely, efficient & organized way. Provide high quality assistance in all administrative duties.

 

Main Tasks:

 

Scheduling and Travel Management

  • Maintain the meeting agendas and team calendars; exercise personal judgment to prioritize or suggest schedules for meetings, conferences, travel etc
  • Organize business travels for including hotel reservations, ticketing, travel document application, visa applications etc

 

Logistics Support for business meetings

  • Prepare meetings, workshops, conferences etc. by providing logistics services (e.g. venue selection, invitations, agenda, participants’ confirmations, hotel reservations, catering), including assistance in preparing meeting materials and support to overseas visitors on administrative matters.

 

Correspondences & Information Handling

  • Prepare correspondences on contracts, agreement and monitor on documentation signatory.
  • Manage on documentation and dispatch via local or overseas delivery in timely manner.
  • Collect, summarize and compile relevant business data into reports. i.e., quarterly expenditure in respective cost center against the company finance department allocation within BU.
  • Handle confidential information, files, materials to ensure information security.

 

Office and Administrative Support

  • Provide prompt assistance and full administrative support to the business leader for daily activities,
  • Organize and expedite flow of work through supervisor's office and initiates follow-up action as instructed.
  • Exercise judgment and demonstrate tact to greet and screen visitors and calls at all levels within the organization, industry, and community with great frequency of senior-level internal and external business contacts.
  • Prepare and submit travel expense for Business leader supported. Perform verification on personnel expenses prior submission for superior approval.
  • Prepare and submit claims on home leave, medical expenses, and business travel information required by auditors.
  • Perform delegated duties from supervisor on general system access approval during their absence.
  • Handle and monitor external/non-trade invoices, billing set-up are in accord manner. (Creation on vendor form, verification on invoices & contract)
  • Support on system and office setup, organization orientation to new hires (i.e. system application, general admin equipment requisition, general admin, name cards, corporate credit card, blackberry, company policies on BU’s admin guidelines and intranet navigation, check schedules of team leads for induction).
  • Requisite and purchase of office supplies, equipment, furniture through admin department for supporting teams.
  • Collect and distribute postal mails for supported teams.
  • Serve as minute taker for selected meetings as required.

 

Other responsibilities (General)

  • Maintain contact details and organization chart of all functional team across the region.
  • Organizing team building activities and event coordination support for the business
  • Maintain office environment to be user friendly, safe and in proper order.
  • Perform other adhoc tasks and responsibilities.

 

Requirements:

  • Minimum Private Secretary's Diploma/ Diploma in Business Admin
  • 5 years of working experience in a complex and matrix organization with multiple reporting lines
  • Team player with strong personal and communication skills
  • Proficient in Microsoft office applications
  • Resourceful and able to work independently.
