Job description
For Documentation section, the Catering Officer will rotate between duties of Control I and Documentation as listed below:
Control I
Receive calls from airline representatives for the last minute additional meals. Receive messages from VHF, calls or telex messages of urgent nature and dispatch them to the relevant persons for action. Raise Additional Meal Request forms and dispatch it to Duty Catering Officer (Control ll). Inform Duty Catering Officer (Control ll) and Production Control on the last minute additional meals. Record the changes in the meal figures requirement (initial and revised) on the load Summary Sheet. Handle and liaise with Duty Catering Officer (Control ll) and Production Control on all delayed flights or aircraft returned to bay requirements/changes. Receive from airline representative information on the duration of delay and whether change of meals or SATS delay snack packs are required Close the checklist and send for charging if cancellation of meals is made by airline representatives or change of meals is requested and record in ICCMS. Create a new checklist if change of meals is required. Such other duties as directed from time to time by Duty Manager, Section Head and Catering Supervisor (Documentation).
Documentation
Prepare all documents needed in Control l. Create the Flight Check-out Sheet (FCOS) for the flights/lounges/other clients allocated by Supervisor (Documentation). Extract passenger load figures and special meal requirements from the respective airlines/clients portal/telex for allocated flights at agreed timeline (minus x hours from ETD). Ensure that the checklist (FCOS) is out in time to meet the production and tray assembly requirements for flight preparation. Prepare Special Meal Request Advice for non-standard special meals due to passenger dietary requirements and issue to Duty Catering Officer (Control ll) and Production Control. Check telex messages for changes in the flight load nearer to flight ETD. Liaise with airlines representatives and ARMs on changes in loading plans, planes and flight schedule. Work with airlines on the changes in their portal and data transmission process for the flight load and schedule. Close the flights with the final passenger load after departure. Such other duties as directed from time to time by the Duty Manager, Section Head and Supervisor (Documentation).
KEY REQUIREMENTS
Proficient in MS Office (Excel, Word) Attention to details and problem solving skills Demonstrate ability to work in a multicultural, multi ethnic environment and maintain effective working relations with people of different national and cultural backgrounds Strong organizational and planning skills Ability to quickly learn new systems, processes and procedures and adapt local practices to industry standards Ability to work on teams, work at detailed level and understand the larger picture Good oral and written communication skills
